Privacy & Data Security

Does CoreBack store my invoice data on your servers?

No. All OCR processing runs entirely in your browser using Tesseract.js. Invoice text never leaves your machine — privacy-first by architecture, not just policy. We never store, transmit, or log invoice images or extracted text on CoreBack servers.

What data does CoreBack actually store?

CoreBack stores only the structured core tracking data you explicitly save: vendor name, part number, invoice number, core charge amount, return deadline, and status. The source invoice file is never uploaded or retained.

Is CoreBack GDPR or CCPA compliant?

Yes. Our privacy-first architecture means we collect minimal data by design. All shop data is scoped to your account with row-level database security — no CoreBack employee or system can access your shop's records. Full details in our Privacy Policy.

Features & How It Works

How does the browser OCR work?

You drag-and-drop or paste a PDF invoice onto the upload screen. Tesseract.js — a JavaScript OCR library — processes the file locally in your browser and extracts text. That text (never the file) is then analyzed by an AI model to identify core charge lines, vendor names, part numbers, and calculate return due dates. The whole process takes under 15 seconds for a standard invoice.

What invoice formats does CoreBack support?

PDF, JPG, and PNG are all supported. This covers emailed invoices, photographed paper invoices, and portal PDF downloads. Multi-page PDFs are processed automatically — you don't need to break them apart.

How do QR bag labels work?

After confirming a core extraction, you click "Print Labels." Your browser opens a print dialog with Avery 5163-format labels — one per core line. Each label shows the vendor, part number, due date, and a color-coded urgency band (green/amber/red), plus a QR code linking to the full core record. Technicians scan the QR at the return shelf to confirm drop-off without any login required.

What is kiosk mode?

Kiosk mode is a full-screen, touch-optimized interface designed to be mounted on a tablet at your return shelf. It shows a QR scan prompt. When a technician scans a bag label, the core item's status updates to "At Return Shelf" with a timestamp. No login required. The screen auto-resets to the scan prompt within 10 seconds of each action.

What DMS systems does the CSV sync support?

Tekmetric, Shop-Ware, Mitchell 1, and generic CSV are all supported. Export in 2 clicks — no API keys, OAuth flows, or integration drama. Templates match the column format each DMS expects for import, so you can drag the exported CSV directly into your DMS.

Is there a free tier?

Yes. The Free tier supports up to 10 active core items, full browser OCR, basic shelf view, and QR bag labels with a CoreBack watermark. No credit card required. Teams usually upgrade when they need more volume, more users, or a tighter closeout workflow.

What does the Solo plan include?

The Solo plan ($49/month) includes unlimited core items, no-watermark QR labels, kiosk mode, email nudges for expiring cores, CSV sync with Tekmetric/Shop-Ware/Mitchell, credit auto-match engine, and 1 location with 1 user. A 14-day free trial is available — no credit card required.

What does the Multi-Location plan include?

The Multi plan ($149/month) includes everything in Solo plus up to 5 locations, 5 users, SMS nudges, vendor performance analytics, recovery benchmarking by location, and custom CSV column mapping.

Can I cancel anytime?

Yes. Cancel from your account settings at any time. No cancellation fees. Your data remains readable (but not editable) on the Free tier after downgrade, so you don't lose your history.

Multi-Location & Teams

Can I use CoreBack across multiple shop locations?

Yes. The Multi plan supports up to 5 locations with per-location dashboards, vendor recovery benchmarks, and a consolidated view showing every core across all shops. You can see which location is leaking the most credits and drill into that location's shelf view from the same interface.

Can multiple team members use the same account?

Yes. The Multi plan includes up to 5 users per account. The Free and Solo plans support 1 user. Team members can have different roles — service writers can log invoices while shop owners review analytics. Kiosk mode doesn't require a user login at all.

Getting Started

How long does setup take?

A first core intake can be completed in a few minutes once your team is comfortable with the flow. Initial shelf setup time varies by backlog size, printer setup, and how many open returns you want to label on day one.

Do I need any special hardware?

No special hardware is required. CoreBack runs in any modern browser on desktop, laptop, or tablet. A label printer (inkjet or laser with Avery 5163 label stock) is needed for QR labels. A tablet or small monitor at the return shelf is recommended for kiosk mode but not required.

What if I already have a backlog of uncaptured cores?

You can import a CSV of existing cores to start from a real backlog, or enter them manually. The CSV import template is downloadable from the Help section. Cleanup time depends on backlog size and how much detail you want to capture from the start.
